We spoke about Financial Documents in Part-1 & Personal Documents in Part-2 of our 3-part series about important documents that every household needs to manage. In this article, we are going to talk about ‘Household Documents’, the third category of documents. This category comprises of various documents that are related to proper functioning of any household. These documents are not as critical as Financial Documents or Personal Documents but can easily become a nuisance to manage. If not properly managed, these can also cause monetary losses (fines on late payments) or cause a disruption to basic services of a household. To understand them better, we have divided household documents also into 3 sub-categories:
Appliance & Service Bills
Every household has tons of appliances in kitchen, living room, bedroom and for personal uses. With every increasing appliance there is a purchase bill, warranty document, service bills & AMC agreements. You would not need bills of these appliances every now & then but these maybe required to avail a warranty or book a service. The major challenge here is that with increasing needs, our appliances and hence the related documents also keep increasing. We end up giving up on managing these bills and eventually start incurring minor but frequent costs because either we have lost the related documents or have lost hope on finding them when required.
The number of appliances can vary a lot for a family depending on various factors, but utility bills more or less are common. The common utilities comprise of electricity, water, phone/mobile and gas connection while internet and dth can still be considered a bit of luxury. Interestingly, being such a frequent a common service also, these bills do not have a single due date such as 1st of every month. Every now and then we end up forgetting one payment or the other. These documents are generally maintained to be used as an address proof or to check the payment date but we also need to keep a strict tab on these to be able to pay on time.
Vehicle docs are basically the RC, Pollution Control Document & vehicle insurance that need to be managed for each vehicle that you may have.
These documents are very critical for example in case of a vehicle accident as the insurance process requires these documents to be available & properly updated or in case when a traffic cop pulls your vehicle over, these are important documents that need to be presented.
These documents are generally required in physical format in the vehicle but as we move towards digitization, lot of these are being accepted in digital format as well. The challenging part of managing these is to keep them updated as pollution control document & insurance document expire periodically. Keeping track of the dates of expiry / dates of renewal of these is a cumbersome job and digitization of these documents can help to a large extent.
